The Fair Hiring File, from May 2027

A record of every hire, built as you go.

Six short steps, done on your phone while the hire is happening. At the end you have one dated PDF that shows what the job needed, who applied, how you judged them and why you picked who you picked.

ExamplePastry chef at Mei's bakery14 staff, Tiong Bahru. One applicant would need an Employment Pass.

Write down what the job needs, before any CVs arrive

Three to five things the person will actually have to do, each marked must-have or nice-to-have. Not "team player". Real things you can check.

When you press "Lock", the list is dated and can't be quietly changed later. If the job really changes, you add a new dated version and the old one stays visible.

Check the ad, and get your dates

Paste your ad. The job ad checker flags wording TAFEP says to avoid and the salary range rule, and the result is saved with the date.

If anyone on the shortlist would need an Employment Pass or S Pass, the file works out your 14-day MyCareersFuture dates and reminds you not to make an offer before then.

Add applicants in seconds, then give each one a reason

Copy the applicant list from MyCareersFuture, JobStreet or your inbox and paste it in. Or forward application emails to the role's own address. Everyone gets a number. You don't upload CVs.

Names stay in a private list only you can see, and the record uses the number. If someone asks "why not me?", search their name and you'll find their line.

Then tick which of your criteria each person met. That's the reason. Got 80 applicants? Mark 30 of them "didn't meet: weekend shifts" in one tap. No essays, and no free-text box where something like age or race could slip in.

Interview everyone on the same questions

Pick your questions once. Score each answer from 1 to 5 straight after the interview, before you talk it over with anyone. Add a trial shift or a test bake as a scored step if you use one.

Why the record holds up

A record is only useful if people can trust it wasn't written afterwards.

Everything is dated

Every entry shows when it was made and who made it.

No quiet edits

Entries lock after a day. A correction is added as a new dated entry, and the original stays visible.

Criteria come first

The job's needs are locked before the first CV, so nobody can say you moved the goalposts.

Reasons, not opinions

Reasons come from your criteria, not a free-text box, so nothing you'd regret ends up in writing.

Kept for 3 months

Then deleted, with a download link emailed two weeks before. Press "Keep this file" if a complaint or MOM query is open.

Stored in Singapore

Your hiring records are kept on servers in Singapore. We never sell them or train AI on them.

What it isn't

So you know exactly what you're paying for

Not a hiring system

It doesn't post ads, collect CVs or message candidates. Keep using MyCareersFuture, JobStreet, LinkedIn or email as you do now.

Not an AI that picks people

You make every decision. The file just keeps the record of how you made it.

Not a compliance guarantee

It shows what you actually did. Whether that was fair is still down to how you hire.

Not legal advice

We explain the rules in plain English and link to MOM and TAFEP, but we're not your lawyer.

Your first 2 roles are free. After that, S$25 for 5.
